Small Office Move Checklist: Relocating Without the Downtime

A house move can spill over a weekend. An office move usually can't — every hour the phones are down costs something. The good news is that offices are far more uniform than homes, which makes them much easier to move systematically if you set the system up first.

Four weeks out

  • Confirm the new lease dates and, critically, when you get keys and access.
  • Book internet and phone service at the new address. This is the long pole — it is routinely four to six weeks, and everything else waits on it.
  • Measure the new space and produce a simple floor plan with every desk numbered.
  • Tell customers, vendors, and your bank. Update your Google Business Profile, website, invoices, and email signatures with a change date.
  • Decide what isn't coming. Old files, dead monitors, the chair nobody sits in.

Two weeks out

  • Assign every person their own numbered desk on the plan. This number becomes their label.
  • Book your containers to arrive about a week before the move so packing can happen around the work.
  • Purge and shred. Check your retention requirements before you throw out anything client-related.
  • Photograph the back of every machine before anything gets unplugged. It saves an hour per workstation later.
  • Arrange IT for the reconnect day, whether that's a vendor or the one person on staff who knows the server.

The labeling system that actually works

Label by destination desk number, not by person or by contents. People change desks between the plan and the move; desk numbers don't. Every tote gets the number, and the same number goes on the door or wall at the new office. Anyone unloading can route a tote correctly without asking a single question.

  • One tote per desk for personal items, one for supplies.
  • Shared areas get their own numbers — kitchen, supply closet, reception.
  • Cables in a labeled bag inside the same tote as their machine. Never in a communal cable tote.

Move week

  1. Pack Thursday, move Friday, reconnect Saturday. Monday morning is the real deadline, and a day of buffer is worth a lot.
  2. Move IT first. Network gear and servers go in first and get set up first — everything else can wait on a desk.
  3. Set up reception and the phones next. If you can answer calls, you're trading, whatever else is still in totes.
  4. Then desks, by number.
  5. Test before everyone arrives. Phones, internet, printers, card reader, alarm.
